Stage 1
Novice Level
Summary
Your journey has just begun. You might be feeling like your business is running you vs. you running your business. Typically, processes for companies at this level are mostly manual or run on legacy systems. Data is likely not captured and made readily available throughout the organization. At this stage, the first step is to develop an appreciation for data throughout the organization and identify processes that result in a high amount of manual work, especially for senior employees.
Typical characteristics
-
No clearly defined company-wide metrics
-
Processes lack clear definition and depend on pen & paper or spreadsheets
-
Little to no data is captured and analyzed
-
Employees tend to make decision based on gut feeling and are hesitant towards new technology
Potential next steps
-
Develop a data-driven mindset among employees
-
Ensure key processes are clearly defined
-
Identify manual processes with high workload
-
Define crucial company-wide metrics
-
Start capturing data along core processes
-
Foster an environment of excitement around new technology
Stage 2
Beginner Level
Summary
You know there is a better way to run your business but don’t exactly know how to get there. Lots of data is being generated in your business but little is captured, visible or drives meaningful change. Processes might lack automation and legacy systems that aren’t cloud based might be in use. At this stage it’s tempting to get sidetracked with buzzwords like AI, big data, neural networks and machine learning. However, it’s important to first get the basics right. Without capturing and aggregating crucial data in automated ways, the business won’t be able to reach its full potential.
Typical characteristics
-
The company has a north star, but the steps to get there aren’t defined
-
Core processes depend on excel sheets prone to error or legacy systems that aren’t cloud based
-
Some crucial data isn’t being captured and no data is consolidated in one place in real-time
-
Processes have automation potential
-
Systems aren’t integrated
-
Employees find themselves entering the same data twice frequently
-
Employees are hesitant about new solutions but get comfortable with new solutions after some time
Potential next steps
-
Identify processes that depend on excel sheets or legacy systems
-
Replace any manual processes with automated systems
-
Start exploring opportunities to implement integrated cloud-based systems
-
Ensure all crucial data is being captured, aggregated, made available to employees and used to make decisions
Stage 3
Intermediate Level
Summary
Your business understands the importance of data and embraces data-driven decision making. Crucial data is captured, however, it is stored in different isolated applications. Typically, companies at this level have systems that communicate with each other but there tends to be no central source of truth that consolidates and visualizes data in real-time. Data might be discoverable for most employees but doesn’t contain helpful context. Building out a company scorecard that allows employees to access the most important metrics in one place in real-time is the most valuable next step.
Typical characteristics
Potential next steps
-
Build out an integrated solution suite
-
Ensure data is collected and transformed in a central data warehouse
-
Build out a company scorecard that visualizes the most important metrics in real time all in one place
-
Ensure the majority of processes are automated
-
Software is embraced throughout the organization but is limited to specific point solutions for each department
-
Many but not all solutions are cloud-based and optimized for mobile devices
-
Most processes are clearly defined
-
Data is being captured and stored in different isolated applications but there is no central source of truth
-
Most employees are open to new technologies

Expert Level
Summary
Your organization is running highly efficient processes and displays an extremely effective use of data. Companies at the expert level tend to run on one integrated software system. Data is a major component of your organization’s strategy and data-driven decision making is highly valued. Companies at this stage are equipped to focus on innovation and proactive expansion. Your foundation is strong enough to allow you to explore advanced data models using AI and predictive analytics.
Typical characteristics
-
Highly efficient and automated processes
-
A single integrated software system
-
Clearly defined metrics on both of the organization as well as department level
-
A strong data-culture
-
A master scorecard that displays company wide data in real-time all in one place
-
Employees are excited about new software and proactively engage in the process of optimizing systems
Potential next steps
-
Advanced data models using AI and machine learning
-
Increased focus on innovation and expansion
